VCA BOARD MEETING MINUTES Wilton House Museum Board Members Present: Carol Givens, Karri Richardson, Jayne Hardin, Patricia Selinger, Kathy Gillis, Melba Myers, Stuart Bailey Austin, Tracy Bryan, Michelle McClintick Meeting came to order at 12:13 p.m. Officer/Committee Reports President’s Report, Carol Givens: Carol welcomed everyone to the meeting, and provided a handout of meeting dates. Vice President’s Report, Traci Horne-Flores (absent): No report. Secretary’s Report, Karri Richardson: Board member contact sheet was circulated for review and corrections (see attachment). Karri reported that there were no minutes taken at the May 2005 members meeting at the Science Museum of Virginia. Treasurer’s Report, Dianne Ball (absent): report submitted (see attachment) Bylaws, Jayne Harding: No report. Disaster Response Committee, Mary Scott Andrews (absent): In Mary’s absence, board members inquired as to how the Disaster Response Committee works when a disaster occurs. It was confirmed that there was a phone tree in past years. This issue was tabled until the next board meeting when Mary will be present. Education Committee, Patricia Selinger & Kathy Gillis: After reviewing responses from the Digital Workshop evaluations, the Education Committee has come up with the following ideas for this year’s workshop(s): Advance Photoshop (local expert to teach)
All board members agreed that these three workshops ideas would be good topics for the VCA, and it was suggested that the VCA might want to consider doing more than one workshop this year. Kathy suggested we consider getting an AIC grant(s). Grant deadlines for workshops are September 15 and sometime in February. It was also suggested that we consider partnering with SOLINET and/or Connect Richmond (a former partnership with VAM was not successful). Patricia also reported that the VCA lost money on the Digital Photography workshop last May (see attached Treasurer’s report). The amount lost was minimal and was due in part to the instructor’s fee and the production of the color course materials. However, the feedback on the workshop was very positive. Membership Committee, Melba Myers: Membership dues are due October 1. Dues are $25 for regular members and $20 for students. A membership form will be included in this month’s newsletter. Program Committee, Stuart Bailey Austin: The next program is September 15, 2005 at 5:30 p.m. (refreshments) with the lecture starting at 6:00 p.m. The location is VCU Cabell Library, second floor (refreshments) and basement room B-35 (lecture). The speaker is Walter J. Personius, Sr., PhD., a physical therapist who specializes in repetitive motion/posture treatments. He will tailor his interactive lecture to repetitive motion pains/injuries that may affect conservators. He was suggested by VCA member Scott Taylor. The November membership meeting will be held at Maymont and will feature the restoration of Maymont House Museum’ s service areas and other major conservation projects undertaken recently by VCA members (November 17, 2005, Maymont Garden Hall). Stuart reported that she is trying to engage members and former members from Colonial Williamsburg. She spoke with CW’s Chris Swan last May who agreed that they would like to have a stronger presence in the VCA. Stuart with working with Chris to schedule a member’s meeting at CW for next spring. Publications, Tracy Bryan and Michelle McClintick: The newsletter is going out in the next day or so. Tracy reported that the newsletter will be printed locally by Kinkos or Office Max. This will enable her to have been control over the deadlines, mailing, etc. All members will be receiving a hard copy of the first newsletter with a membership form included. The membership form has an option for e-mail newsletters, so in the future hard copies will be limited to those who do not request the e-mail version. The next newsletter deadlines are September 27 and October 27 (a listing of future deadlines will be distributed at the next meeting). New Business Members of last year’s nominating committee have expressed concern over the proper rotation of Vice President and President. Some ideas were discussed but it was decided to table this discussion for the next board meeting. It was also pointed out that both Refreshments Committee members will be rotated off the board at the end of this year. It was suggested that the Refreshments Committee positions be “advertised” at the next members meeting, in the newsletter and on the website. Some board members and general members feel that we need to do a better job of getting to know and involving old members, new members and prospective members. Carol Givens suggested that we take a group picture of the board for the newsletter. Kathy Gillis suggested we have nametags at members meetings. It was also suggested we make a strict habit of introducing new and prospective members at every board meeting. The member spotlight feature in the newsletter will be pursued, however, it was suggested that more general and/or personalized questions be asked (like those in the RTD Business Section Spotlight column). It was also suggested that small blurbs (1-2 paragraphs) on new conservation projects, new members, etc. be included in the newsletter. Karri Richardson volunteered to take pictures at members meetings for inclusion in newsletters and the VCA archives. Old Business The website is finished and looks great (thank you Lorraine!). www.virginiaconservationassociation.org Board members inquired as to the status of a VCA logo. Previous boards have tried to come up with a logo and apparently John Fralin has submitted some ideas. This issue was tabled until the next board meeting. |
